Cleaning between tenancies is easier to organise when the property condition, repair work, access and cleaning scope are recorded separately. This guide gives landlords, letting agents and property managers a practical sequence for preparing a rental property before new occupants arrive.

1. Inspect and record the property condition

Use the check-out record, inventory and dated photographs to identify what is cleaning, what is damage and what is routine maintenance. Record individual appliances and rooms clearly. Avoid relying on one general description of the whole property.

The Tenancy Deposit Scheme cleaning guidance explains why detailed evidence of cleanliness at the start and end of a tenancy is useful when a dispute occurs.

2. Separate cleaning from repairs and safety work

List repairs, damaged finishes, leaks, failed sealant, electrical faults and appliance faults separately. Cleaning cannot replace maintenance, statutory checks or specialist remediation. Arrange appropriate competent help for those tasks rather than adding them informally to a cleaning list.

3. Agree a written cleaning scope

  • Confirm the total bedrooms, bathrooms and other rooms.
  • Identify cupboards, wardrobes and appliances that will be empty and accessible.
  • List the oven separately if it is to be included as the priced option.
  • State whether other appliance interiors should be considered in a manual quote.
  • Identify internal glass, frames and floor types that are safely accessible.
  • Record any excluded, locked or occupied area.
  • Separate specialist carpet work and other unpriced extras from the standard estimate.

4. Coordinate access, utilities and other work

Confirm who will provide access, where keys will be collected and returned, and which contact is available if access fails. Keep electricity and water available for the agreed cleaning where required. Schedule dusty repairs, decorating or replacement work before the final clean where practical, so completed areas are not immediately affected again.

5. Agree appliance cleaning and extras

Pureology's calculator prices oven cleaning as an optional add-on. Other appliance interiors and work without an approved calculator price should be described in the enquiry and agreed separately. Follow manufacturer instructions and ensure appliances are empty and safely accessible before the appointment.

6. Complete a final handover check

  • Compare completed work with the written cleaning scope.
  • Record areas that were inaccessible or outside scope.
  • Check that repairs and safety actions are tracked separately.
  • Take proportionate dated photographs without capturing private information.
  • Keep the cleaning paperwork with the inventory and handover records.
  • Provide the incoming occupant with the appropriate property and safety information through the normal letting process.

For lettings professionals, current GOV.UK consumer-protection guidance says intended deposit deductions should be explained clearly, including why and how much. Cleaning evidence does not remove the need to follow the applicable tenancy and deposit process in England.

What to include in a landlord cleaning enquiry

  • Property address and full postcode.
  • Property size and room totals.
  • Current occupancy and whether belongings remain.
  • Requested rooms, appliances and extras.
  • Access contact and key arrangements.
  • Preferred date and confirmed handover date.
  • Known maintenance work or restrictions that affect access.
  • Whether the enquiry concerns one property or several properties requiring separate scopes.

A brief example from Batley

Pureology completed an end-of-tenancy clean at a one-bedroom apartment in Batley. The agreed work covered the apartment and included the oven, fridge and washing machine. The photographs show the property after cleaning; no claim is made about the earlier condition, job duration, price, inspection result or deposit outcome.

Review landlord and letting-agent cleaning, the end-of-tenancy service and the room-by-room checklist. Then check the property postcode or discuss a rental property clean.
